Product Data Guide

Introduction

Product data is the most crucial aspect of any Cylindo project for achieving good quality and accurate timelines. Without good product data, projects are likely to be delivered late and with poorer quality. This guide is here to help clarify what we mean by "good product data". The checklist below provides an overview of the minimum requirements needed to model a product, as well as what we need to achieve the best outcome and, consequently, the best quality.

Initial product data, including names and codes, is gathered in the Master Project Spreadsheet. This data is then imported into the Cylindo CMS, where we collect reference images and any extra information.

Using the provided data, the Cylindo team will establish the structure and logic of the products. If additional information or clarification is needed, we'll contact you directly through the CMS.

Once the product data is verified, the modeling process begins, and no further alterations to the product logic are permitted. This approach enables us to resolve uncertainties early on, minimizing the number of review cycles needed during the model approval process.

Product Names and Codes

The first step in every project is to gather product names and codes in the Master Project Spreadsheet, as explained in the MPS Guide. We suggest using the same names and codes from your website or e-commerce platform to avoid confusion during integration. Just remember, each product must have a unique code; no duplicates allowed.

It's important to clarify that when we say "Product," we mean a complete configuration with all options (like a two-seater sofa in 50 fabric choices). If your system assigns a code for each option instead of each unique configuration, discuss the best approach with your Cylindo team.

Product Images

Product images are essential for Cylindo to accurately model a product. To ensure clarity in product visualization, we request reference images to have a minimum resolution of 1K (1024x1024). We require photographs capturing the front, side, and back views of the item. For optimal visibility of product details, it's imperative that all images are captured in neutral lighting conditions. Examples illustrating this are provided below.

If Cylindo is not provided with a specific visual aspect of the product (such as a rear angle), the project is either paused until the reference is provided or, upon agreement, modeled based on Cylindo's expertise (for instance, a generic rear view). It's important to note that Cylindo will not accept any feedback if the latter approach is adopted.

Measurements

The main measurements needed are width, height, and depth, which we may refer to as Bounding Box dimensions (the smallest box the assembled product fits into). It's best to fill in these details in the Master Project Spreadsheet, as described in the MPS Guide.

Alternatively, you can input dimensions directly on the Cylindo CMS platform when submitting product data. If you have technical drawings with measurements, Cylindo can use these files if uploaded to the CMS before pre-production.

While not required, providing additional measurements like seat height, seat depth, armrest width, etc., can give valuable insights and is highly appreciated.

Product Features and Options

A product feature is any customizable part of the product, while options refer to the unique configurations (e.g., a sofa with the "Upholstery" feature might offer 10 fabric options). Before production begins, we require all features and options to be filled in the Master Project Spreadsheet.

If the product has specific rules or logic that are best visualized on product images rather than listed in the spreadsheet, you can annotate the product images before uploading them on the CMS. For instance, in cases like draping patterned fabrics, where customers have precise rules for pattern alignment, visual representation is crucial for accurate recreation.

For furniture with moving parts like recliners, storage, or sofa beds, it's essential to specify if visualization should be in one position only. If multiple positions are needed, reference images for all variants are necessary.

Frequently Asked Questions

What if we receive product images from various sources? For example, the front photo from our supplier and the back photo from our own collection?

While it's not optimal, it may still suffice. However, if there are discrepancies between the photos from different sources (e.g., one image shows more wrinkled fabric than the other), please specify which should be considered the accurate source.

What if we only have 3D files, can you use them?

In instances where no other data is available, we may utilize existing 3D files as references for dimensions. However, please note that 3D files often provide limited details, such as overall width, depth, and height. For finer details like cushion crown height or seam/stitch detailing, images are necessary.

Occasionally, though rarely, we may be able to repurpose existing 3D files instead of creating new models at Cylindo. However, we require an example file for review before confirming their suitability for reuse.

What if we lack Product Data that meets Cylindo's minimum requirements?

Our minimum requirements ensure that we can efficiently begin modeling your products. If your product data doesn't meet these standards, it may still be possible to initiate the modeling process, but please note that this could impact product quality and project timelines, and we cannot guarantee outcomes.

If Product and Feature Codes are unavailable, can we still upload the Product Data?

In such cases, Cylindo can suggest temporary codes. However, it's important to note that without the correct codes, integrating the finished products on your website won't be possible. Although we can adjust these codes and names during or after production, it's essential to recognize that this may disrupt timelines and is not recommended.

What if we need slight edits on the reference images?

During the product data collection process, you can indicate any necessary adjustments by marking up the images before uploading them to Cylindo CMS. While it's typically best to provide us with exactly what you want modeled for optimal results, you can still request edits before you submit final product data. Please note that changes to product data are not permitted once we enter the production stage.

What if we only have drawings and no reference images?

It is typically not sufficient for modeling. This falls below our minimum requirements and may lead to a lower-quality model. However, if the product belongs to a range we've already modeled or have reference images for, we may be able to utilize this information to create the model. Please note that we can accept minimal to no feedback if the model was created solely from drawings.

Can we simply upload all our data to a platform like Google Drive, Dropbox, or WeTransfer for Cylindo to review?

This approach is not recommended because we require all data to be uploaded directly to the Cylindo CMS. As experts on your products, your guidance is crucial for accurate assessment. Without it, we may encounter difficulties in verifying the correctness of the images, identifying discrepancies, and ensuring all necessary details are included.

What happens if I send incorrect data or need to make changes?

Cylindo includes a product data verification step in the project delivery process to catch any issues. If missing, conflicting, or insufficient data is identified, our team will notify you. If changes arise after data collection was completed, please inform your Cylindo team, who will assess if the changes can be accommodated within the current project scope or if an additional update project is necessary.

Is there a character limit for the Product/Feature/Option Name or Code?

Yes, there is a character limit of 255.
